Summary
ProviderTrust sends several types of automated emails to keep you informed about system activity, alerts, and data updates. This article outlines the types of email communications you may receive, including the Welcome Email, Alert Email, Data Import Email, and ProviderTrust Report Email, along with details on their purpose, frequency, and content.
Welcome Email
When your user account is created, you will receive a Welcome Email inviting you to set up your account and password for the first time.
The email includes a secure link to activate your account.
Follow the on-screen instructions to create your password and log in for the first time.

Alert Email
If you have the appropriate user permissions, you can opt in to receive Alert Emails. These notifications summarize any unresolved alerts associated with your organization.
The email includes a count of unresolved alerts by type (e.g., Needs Review, Under Review).
Alert Emails are sent daily whenever alerts in Needs Review status exist.
The data displayed represents all alerts across your organization, not just those within your specific user access level.
Note:
The Alert Email provides an organization-wide summary. It is not filtered based on individual user access.
Data Import Email
Users with the correct permissions may also receive Data Import Emails, which notify you about the success or failure of recent data imports.
Each email contains:
A summary of successful uploads.
A list of monitored subjects with errors, if applicable.
Instructions for reviewing error details securely via SFTP.
If errors are present in your file, you must log in to your secure SFTP environment to review and address them.
Examples
Successful Upload Summary – Displays confirmation of successfully processed records.
Unsuccessful Upload Summary – Displays records that encountered errors during import.
ProviderTrust Report Email
When you generate and download a report within ProviderTrust, you do not need to remain logged in while it processes.
Once your report is ready, you will receive a ProviderTrust Report Email containing a secure link to download the file directly.
This notification ensures that reports can be accessed efficiently without extended system login times.
