Summary
This article explains how to generate and manage Instant Search Reports for NPI, Name, and SSN searches. Each report contains essential details such as search criteria, user and organization information, results, notes, and status updates. NPI reports additionally display a comprehensive list of primary sources and their corresponding results. Reports can be generated for all Instant Search types, including any searches that return no results.
Best Practice
To maintain accuracy and ensure audit readiness, users are encouraged to rename reports for easier reference and to follow their department’s established audit documentation practices. Reports should be generated after Internal Review Status updates have been updated or once all search results have been reviewed and resolved.

Reporting for NPI Searches
After completing an NPI search, the Generate Report button will appear in the right corner.
An NPI Search Report includes the date the report was generated, the user who generated it, and the organization name, which appears in the top-right corner of the report. It also lists all primary sources used in the search and their corresponding results. Additionally, the footer of the NPI search report contains all Federal, State, and Other Lists Checked. Reporting for Name Searches
After completing an Individual or Organization name search, a comprehensive report of all potential matches and their Review Status can be downloaded in CSV or PDF format. By clicking on the icons, the report will begin to download. Be sure to save the report according to your department's audit readiness guidelines.
Alternatively, a single result can be reported by clicking on the specific result item.

The report will reflect the date generated, the user who generated the report, and the organization name. Additionally, you will see the criteria searched, as well as each potential match result(s) and the corresponding notes and status changes for each result. Reporting for SSN Searches
After completing an SSN search, a Generate report button will appear in the right corner.
By clicking the Generate Report button, the report will begin to download. Be sure to save the report according to your department's audit readiness guidelines.
An SSN Search Report includes the date the report was generated, the user who generated it, and the organization name, which appears in the top-right corner of the report. The Social Security Death Master File is the only source checked for SSN searches.
