Summary
This article outlines the Bulk Search feature in Instant Search. It outlines what sources are checked, what results are returned for each identifier, and an overview of the upload journey and upload statuses. Bulk search lets you run many searches at once: each valid row in the uploaded CSV becomes a separate search and gets its own search-history record. Your organization's configured search products determine which sources are checked; the upload dialog shows which sources each row will be checked against. Results can be reviewed, resolved, and exported.
What Bulk Search checks
The search checks each row against the products configured for your organization and applies only the checks supported by the identifiers in that row.
| Product | What it checks | Primary sources and cadence |
|---|---|---|
| Exclusions | Federal and state exclusion or sanction records | OIG-LEIE monthly, SAM.gov daily, OIG High Risk and Waivers, and state Medicaid exclusion lists. |
| OFAC | U.S. Treasury sanctions | SDN list and Non-SDN Consolidated List. |
| Medicare Opt-Out | Providers who opted out of Medicare | CMS Opt-Out Affidavits. |
| SSDMF | Deceased-identity check | Social Security Limited Access Death Master File. |
| NPI Validation | Whether an NPI is real and active | NPPES registry. NPIs that are missing or deactivated without reactivation are flagged. |
What each identifier can surface
| CSV data | Products it can surface |
|---|---|
npi |
NPI Validation, Exclusions, OFAC, and Medicare Opt-Out |
firstName + lastName
|
Exclusions and OFAC. Name-only results require human review. |
organizationName |
Exclusions and OFAC for organizations. |
tin |
SSDMF only. The nine-digit TIN is treated as an SSN for this check. |
Important: Bulk Search does not check Licenses or the CMS Preclusion List, even if those products are part of your organization's account. NPDB, sex-offender registries, and criminal-background sources are also outside PT App's scope. To check licenses or the Preclusion List, run a single NPI search instead.
Where to find Bulk Search
Bulk Search can be found by navigating to Instant Search in the left-side navigation panel when logged into PT App. If you do not see an option for Instant Search, reach out to support@providertrust.com.
How the upload process works
- Build the CSV. Use the six-column template and provide at least one searchable identifier on every row.
- Upload the file. Open Instant Search → Bulk Search, select New Bulk Search, review the configured sources, and attach the CSV.
- Validate the rows. Bulk Search checks formatting and required data. Invalid rows are added to an error report; valid rows continue.
- Run the searches. Valid rows are processed in batches of 500. Each row runs checks included in your organization's plan.
- Review results. Open the completed Upload to filter subjects, inspect evidence, review matches, and resolve findings.
- Export or download. Export the current results page, download the original file, or download the error report when one exists.
Upload statuses
| Status | Meaning |
|---|---|
| PROCESSING | The upload was received or searches are still running. The Upload detail page refreshes automatically. |
| COMPLETE | All valid batches finished and results are ready. The Upload may still include skipped invalid rows. |
| FAILED | The file did not produce results. Review the Upload message and error report, then correct and re-upload the file. |
