If your organization prefers to submit its NPI population as a flat file for monitoring, this document offers a high-level understanding of the process. A detailed technical guide will be provided separately to your designated technical contact, who will manage the setup and file exchange.
Process Overview
Your organization will provide ProviderTrust with a file containing NPIs. A flat file with all license information tied to the NPIs will be securely transferred to the SFTP folder established during implementation.
For organizations enrolled in the following monitoring packages—Exclusions, CMS Opt-Out, and CMS Preclusions—a separate flat file export will be generated for each.
Responsibilities of the Technical Contact
Your designated technical contact will be responsible for managing the secure file exchange. Specifically, they will need to:
Submit NPI data
Send a CSV file each month containing your organization’s NPIs (or a one-time file if the population does not change).Manage secure transfers
Upload and download files through an SFTP connection to ProviderTrust’s secure folder structure.Adhere to file standards
Follow naming conventions and folder structures (detailed instructions and examples will be provided).Retrieve results
Download monthly monitoring results from the designated SFTP folder.Troubleshoot issues
Resolve file formatting errors such as missing column headers or invalid values.
Who Should Be Assigned?
The best technical contact will typically be someone in IT, Data, Integrations, or Analytics who is comfortable with file and data management. Specifically, this person should:
Have experience working with CSV files
Understand secure file transfers (SFTP)
Be comfortable with data formatting and file troubleshooting
If you are unsure who fits this role, your internal IT or data team lead will likely be the best person to identify them.
Additional Notes
Credentials considered atypical licenses (often those with a pass-through fee) require a different upload process through the PT App’s SFTP integration. ProviderTrust will work with you to determine which licenses fall into this category.
Once your technical contact is identified, they will receive:
Secure SFTP credentials
A technical implementation guide with file structures, naming conventions, and sample files
