Summary
This article reviews the process when an issue is found or a match is identified during an instant search. The alert details displayed will vary depending on the type of search. All NPI searches will display NPPES Profile data. There will be an Overview, Primary Source Data, and Organization Details for comparison. The Internal Status Review is a field that enables organizations to record notes and status updates that are timestamped and fully auditable. This feature supports transparent documentation, investigation, and resolution of alerts directly within the platform.

Overview
When searching by an NPI, an overview of all search results will display.
The overview displays key information such as:
NPI Searched
Name of Individual or Organization
Issue(s) Found
When an issue has been found, scroll to the bottom of the Search Results page. On the right side, below the NPPES Profile section, you will find the Internal Review Status panel.
NPI Matched Result Types include Credentials and Sanctions. For more details about each NPI result type, please review the support article How To: Perform a DynamicNPI Instant Search Using NPI.
Internal Review Status Updates
In the Internal Review Status panel (bottom-right corner), click Update Status button.
This action opens the Update Internal Review Status dialog box (shown below).
Please note: "No data available." will display when no notes or status changes have been made.

In the Change Status drop-down menu, select one of the available options:
Needs Review – All new alerts and alerts that need to be addressed by users within your organization.
Under Review – Alerts currently being investigated by users within your organization.
Resolved – Investigation completed and issue closed.
Add any relevant notes to document your findings or actions taken. Please note that for DynamicNPI status updates, updates are made for the entire NPI and include all alert types and issues.
Click Save Status in the bottom-right corner of the dialog box to save your updates.
Important Notes
If there are multiple issues for a single NPI, please ensure that notes are made for all alert types, including: Federal Exclusions and State Sanctions, Medicare Opt-Out Status, NPI Validation, State License Verifications with screenshots and Board actions, DEA/CDS validation, Board certification through ABMS, CMS Preclusion List*
All notes and status changes are automatically timestamped and recorded for audit purposes.
Once entered, notes and statuses cannot be edited or deleted.
All updates are reflected in the system’s reporting features, ensuring traceable and compliant documentation of your organization’s alert review process.
